ShipOut Agency Warehouse Operation Manual

For freight forwarder customers | Multi-warehouse businesses | Inter-warehouse collaboration:

Application Scenarios

If you are a freight forwarder:

You can set up an agency warehouse system. Your customers act as OMS (Order Management System) users. Orders from OMS are automatically sent to your cooperating overseas warehouse’s WMS (Warehouse Management System) for execution. The system generates two separate sets of invoices—one between the freight forwarder and the overseas warehouse, and one between the freight forwarder and the direct customer. The overseas warehouse cannot view your customer information.

If you are an overseas warehouse:

If you collaborate with other overseas warehouses (e.g., Warehouse A on the West Coast needs to ship some orders from the East Coast), Warehouse A can enable the agency warehouse feature and automatically send eligible customer orders to Warehouse B for fulfillment.

1. What You Need to Set Up the Agency Warehouse Feature

  • Both the operational warehouse and the agency warehouse need to use the ShipOut WMS system.
  • Prepare an OMS account:
    The agency acts as a customer in the operational warehouse. You need to create an OMS account in the operational warehouse. For specific steps, see the manual “How to Create/Invite and Manage Customers?
  • Prepare a WMS account:
    The agency warehouse’s WMS account must have the agency warehouse feature enabled. If not, please contact customer service to enable it for free.

2. How Agency Warehouse Integrates with the Operational Warehouse (Actual Shipping Warehouse)

2.1. Get the API Key

  • Log in to the OMS account at oms.shipout.com
  • Click your avatar in the top right corner → “Profile” → “API Settings” → “Generate API Key”
  • Copy the API key for the next step

2.2. Authorize and integrate the Operational Warehouse in ShipOut WMS

  • Log in to the WMS account at wms.shipout.com
  • Click “Warehouse Home” → “Return to Warehouse Selection”
  • Click the “Manage Warehouse Connection” button on the right
  • Click “Add New Connection”
  • Warehouse System Type: Currently, only ShipOut is available (more platforms will be added later)
  • Warehouse Organization Name: Enter the name of the operational warehouse company you’re partnering with
  • API Key: Paste the API key from step 1
  • Click “Connect”

If the authorization is successful, you’ll see a “Success” prompt and the list of authorized partners on the right.

Bind the authorized operational warehouse company and the agency warehouse.

Click the three dots in the top right of the agency warehouse → Click “Link Operational Warehouse” → Select the warehouse under the operational warehouse

Example:
If Agency Company A partners with Overseas Warehouse Company B for West Coast and East Coast business, Agency Company A needs to set up two warehouses for customers—one for the West Coast and one for the East Coast. The West Coast address should match B’s West

Coast address, and the East Coast address should match B’s East Coast address.

3. How Agency Warehouse Maps Products from the Operational Warehouse

3.1. Go to the agency warehouse’s Product Management, and approve customer products (skip if already approved).

3.2. Click “Proxy  Warehouse Product Mapping” under “Product Management” → Click “Push Product”. You’ll see a prompt: “Push Successful”.

3.3. Contact the operational warehouse team to review products. If the operational warehouse has automatic approval enabled, skip this step.

3.4. Once approved by the operational warehouse, click “Sync ExecutionWarehouse Product” and you’ll see “Success”.

3.5. Click “Auto Mapping”, and you’ll see a prompt: “Match Successful”.

4. [Agency Warehouse] Complete Billing and Logistics Setup Before Pushing Orders

Before pushing orders, complete all billing-related system configurations. Settings only take effect after configuration, not retroactively.

4.1. Billing Settings:

  • You can provide your data to customer service for setup.
  • Or go to the agency warehouse settings (top right) → “Billing Automation Rules” → “Billing Item Settings”.
  • See the manual “How to Set Up Billing Automation Rules” for details.

4.2. Logistics Settings:

For orders pushed from the agency warehouse, logistics automation rules should include the condition [Agency Warehouse Business: Yes].

  • Operational warehouse purchases shipping label:

    • Use the operational warehouse’s logistics channel:
      The agency warehouse can set up logistics channels with the same service name, and in the logistics automation rules, select “Sync Operational Warehouse Logistics Channel”. Orders will be processed through the operational warehouse’s logistics channel.

      All automation rules should include [Proxy Order: Yes].

Use operational warehouse’s “select by warehouse”:
The agency warehouse can set up both its own and the operational warehouse’s “select by warehouse” service. However, due to possible uncontrollable factors, it’s recommended to use the “operational warehouse logistics channel” solution.

5. Pushing Business Orders

Before pushing orders, make sure both the agency warehouse and operational warehouse have enough credit or account balance.

5.1. Create/Submit Inbound Order

The agency warehouse’s OMS customer submits an inbound order to the agency warehouse. The system will automatically push the inbound order to the operational warehouse.

5.2. Operational Warehouse Completes and Charges for Inbound Order

After the operational warehouse completes and charges for the inbound order, the system will automatically update the agency warehouse’s order status to “Received”.

After checking the fees, the agency warehouse completes the inbound order.

5.4. Create/Submit Outbound Order

The agency warehouse’s OMS customer submits the outbound order to the agency warehouse. The system will apply logistics automation rules and push the order to the operational warehouse.

This setup assumes the “Use Operational Warehouse Logistics Channel” or

 “Use Agency Warehouse shipping account” option is configured beforehand.
